HR Specialist (m/f) Full-time

Purpose & Overall Relevance for the Organisation:



  • Ensure correct and daily execution of key responsibilities in the HR department, including GBS Team support on HR related topics

  • Support HR areas such as database maintenance, and SAP system

  • Ensure we are delivering best in class HR Support to our business partners and Employees


Key Responsibilities and General Accountabilities:


  • Build up and maintain a good working relationship with internal customers and ensure a quality level of service to the employees of GBS Porto

  • Act as first point of contact for employees queries on HR processes

  • Handle all HR relevant administrative processes as well as support to HR development processes

  • Ensure legal compliance in all admin HR processes
  • Ensure all legal reports and communications are done accurately and timely (Single report; Social Security communications; INE reports?)

  • Schedule and organize initial and regular medical appointments
  • Ensure regular and proper updates of SAP and all relevant HR lists
  • Supports the integration of new employees from HR side (initiate relocation and moving activities, onboarding, feedback meetings, employee documentation completeness, etc.)
  • Support seamless on-boarding and exit processes, including survey information distribution and introduction of new employees on their first day (adidas ID-card, location, etc)

  • Ensure timely issuing of reference letters or any other declarations employees may request

  • Update lists and reports as required (new hires/distribution lists/open positions list etc.)

  • Payroll related tasks: receive, organize and record employees? attendance; verify monthly payroll information in SAP to ensure proper execution

  • Organize and maintain process descriptions / HR Manuals; organize and maintain HR files (physical and digital archive)

Knowledge, Skills and Abilities:



  • Complete familiarity with Microsoft Office or equivalent tools

  • Ability to read, write and communicate in English in a business setting
  • Ability to identify process improvement opportunities

  • Ability to understand and maintain the confidentially of many HR / administrative documents, processes and discussions

  • Problem solving and analytical skills

  • Self-motivated and self-directed individual

  • Good communication skills / good team player


Requisite Education and Experience / Minimum Qualifications:



  • High school degree or equivalent experience, preferable in Human Resources or related area

  • 2-3 years relevant work experience in the HR / Administrative area
