As Accounts Payable (AP) Accountant you will be an integral part of the Finance & Accounting Team, and will report directly to Hala?s Senior Accountant. Your main focus will be on A/P, Payroll, and A/R duties, but the team also expects that you would assist with basic accounting tasks. You will work closely with the People Operations and Compliance Teams, although the nature of this role will provide you the opportunity to connect with everyone at Hala. As Hala continues to grow, you will also have the opportunity to expand the role and the responsibilities.


This position is located in Lisbon, with a yearly gross salary range of 37.000? - ?47.000?. This position is also open to candidates based in the East Coast USA, with a yearly gross salary range of $58,000 - $68,000.

These are the responsibilities for the position



  • Independently own and manage Hala?s end-to-end accounts payable process, including but not limited to:



  • Tracking all necessary payments and expenditures including payroll, invoices, bills, purchase orders, procurement requests, automatic billing and renewals, credit and virtual card expenses, etc.



  • Creating payment requests, ensuring every payment request adheres to Hala?s accounting policies, internal controls, and donor rules and regulations.



  • Monitoring due dates and preparing payments in various banking and accounts payable systems ensuring timely vendor payments.



  • Liaising with Compliance, Program Operations, and other teams to ensure that Hala possesses necessary information and approvals needed to execute payments in compliance with donor rules and regulations.



  • Preparing and organizing journal vouchers for accounts payable transactions ensuring strict adherence to Hala policies and procedures and donor rules and regulations.



  • Responding to vendor and other stakeholder inquiries regarding accounts payable.



  • Constantly work to improve Hala?s accounts payable process, bolstering efficiency while adhering to proper internal controls.



  • Simplify, centralize, and streamline Hala?s accounts payable and purchasing software systems.



  • Prepare and record accounting transactions and journal entries in QuickBooks and/or other financial management systems in an accurate and timely manner.



  • Support purchasing of items and services for the Hala team as needed.



  • Review submitted expense reports, ensuring compliance with Hala?s expense reimbursement, travel, and procurement policies; clarify with submitters any questions that may arise.



  • Liaise with the People Ops team and external payroll accountants to execute payroll payments for Hala?s US and Portuguese entities.



  • Manage Hala?s accounts receivable process: issue invoices, manage due dates and receipts, prepare aging reports, and ensure timely collection of receivables.



  • Prepare accounts payable and receivable aging reports; prepare analyses of accounts and produce monthly reports on expe to Hala?s leadership.



  • Assist in facilitation of the accounting cycle to include preparation of appropriate supporting documentation for journal entries, payroll, payment requests, and bank reconciliations.



  • Organize and maintain financial physical and digital files (receipts, disbursements, invoices, financial reports, etc.) in accordance with Hala policies and filing standards.



  • Provide clerical and administrative support to management as requested, including but not limited financial and program audit requests, sponsor financial reporting requests, data analysis, and others.



  • Perform other duties as required or assigned and provide support to Hala?s Finance and Accounting Team as needed.

We?d love to see:
These are the technical skills and qualifications



  • A university degree in Accounting, Business Administration, or related field.



  • 5-7 years of accounts payable professional experience.



  • Deep understanding of domestic and international payment systems (e.g., ACH, wire, SWIFT, SEPA).



  • Experience with relevant software tools, including but not limited to accounts payable, payroll, and accounting packages such as Quickbooks, NetSuite, Acumatica.



  • Demonstrated proficiency working with Google and MS Office programs, particularly Google Sheets and Excel.



  • Professional working fluency in written and spoken English and Portuguese.



  • Prior experience or a desire to work cross-culturally, cross-functionally and collaboratively with remote and distributed teams.
