We are looking for a talented and accomplished Administrative Assistant to join our team.



As an Admin assistant, your daily responsibilities will include:


  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive?s behalf

  • Organizing meetings and appointments including scheduling, sending reminders, and organizing catering when necessary

  • Answering phone calls in a polite and professional manner

  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department

  • Managing the executive?s calendar, including making appointments and prioritizing the most sensitive matters

  • Book travel arrangements

  • Submit and reconcile expense reports

  • Prepare and monitor invoices

  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

  • Book conference calls, rooms, taxis, couriers, hotels, etc.

  • Cover the reception desk when required

  • Handle sensitive information in a confidential manner

  • Implement clerical duties and administrative processes

  • Any other reasonable duties which may be required by management from time to time


To succeed in the role, you will need to have:



  • Advanced level of English (at least C1) both verbal and written

  • Advanced level of Portuguese (at least C1) both verbal and written

  • Strong perception and evaluation abilities

  • Excellent communication skills, both written and oral

  • Flexibility and ability to work in a fast- paced environment

  • Ability to multitask and prioritize daily workload

  • Excellent written and verbal communication skills

  • Excellent organizational and time management skills

  • Decision making skills

  • Creative thinker and proactive problem solver

  • Task and Target oriented

  • Ability to maintain confidentiality

  • Ability to adhere to all organizational policies and procedures

  • Ability to effectively interact with employees at all levels of the organization

  • Experience with policy work

  • Early adopter of technology

  • Dependable, reliable and able to perform duties with minimum supervision

  • Ability to interact positively with staff at all levels

  • Must hold EU citizenship or valid work permit for Portugal

  • Be a local candidate or willing to relocate to sunny Lisbon, Portugal


Education and experience.


  • 2/3 year college degree or directly related work experience
