People Systems Administrator Full-time

Job Summary:



The People Systems Administrator is primarily responsible for processing, support (e.g. questions, escalations), data management, light configuration, and improvements related to Talkdesk's HR technologies, primarily focused on core HCM. Talkdesk's current technology stack includes Bamboo HR (soon to be replaced with Workday), Lattice (Performance), Phenom/Greenhouse (Recruiting), and Bridge (LMS) though our tech stack changes, and is added to, often.



Your day to day may include auditing data in systems to ensure accuracy, making changes as requested by all levels of management within Talkdesk, writing reports for various functions needing access to employee data, and identifying and partnering to make improvements to HR systems.



The role is a direct report to the Director of HR Systems and is an individual contributor.



The ideal candidate will be able to operate independently within the core scope of the role, partner with others on complex technical issues, be comfortable with ambiguity, and enjoy learning new technologies.

Duties/Responsibilities:



Service



  • Act as the first point of contact for Employees, Managers, and HR for inquiries related to data maintenance and system process.

  • Resolve questions or issues that require specific HR knowledge, coordinate expert resources, and escalate issues as required to resolve in a timely manner.

  • Provide back-up support for all inquiries from employees regarding programs, benefits, policies, leaves of absences, and any other HR-related questions


Processing and Data Maintenance



  • Execute HR data changes and solve general questions concerning HR data in the core HCM system.

  • Upload offer letters and send New Hire welcome packets in HCM System.

  • Perform group data updates, exports, imports, clean-ups, and researches/reports on any data discrepancies.

  • Help maintain data integrity in systems by running reports and analyzing data.

  • Manage permissions, access, personalization, and similar system operations/settings for HR systems users.

  • Audit all new hire data entry in the HCM System.

  • Configure, manage and assign Time-Off Policies and update Holiday schedules.

  • Send weekly, bi-weekly reports to various functions within Talkdesk. Prepare ad hoc reports when requested.

  • Maintain and support bi-annual merit process in the Performance system (manager changes, editing peer reviewers, calibrating scores).


Configuration and Continuous Improvement



  • Perform configuration related to Learning, Recruiting, and Performance (HCM configuration is performed by IT).

  • Drive continuous improvement through both technical innovations and process improvements to automate complex tasks, minimize manual work, enable expansion of self-service and provide an exceptional candidate experience.


Supervisory Responsibilities:



  • This position has no supervisory responsibilities.


Education and Experience:



  • At least 5 years related experience (e.g. DB admin, systems analysis, business analyst, and/or process improvement) required

  • Bachelor's degree in computer science or related field or equivalent work experience.

  • Preferred experience in high change environment (e.g. SaaS company, startup) and comfort with ambiguity

  • Preferred experience with Bamboo HR, Lattice, Bridge, Greenhouse, Phenom, and/or Workday preferred.

  • Preferred experience with continuous improvement methodologies (e.g. Lean, Six Sigma) preferred.

  • Preferred experience with Agile preferred.


Skills/Abilities:



  • Strong analytical skills and detail orientation.

  • Process improvement mindset; preferably demonstrated experience.

  • Strong Excel / spreadsheet skills.

  • Ability to work independently.

  • Excellent verbal and written communication skills.

  • Understanding of HR and Total Rewards concepts and philosophies (i.e. HRIS, Compensation, Benefits, Payroll).
