Job Overview and Responsibilities


Transactional support for Buyers team

  • Vendor creation support in SAP (data preparation)

  • Manage escalated supplier issues regarding delay in payment / invoicing topics, coordinate and align with SBS, root cause analysis and expedite sustainable improvement

  • Support Category Buyer on data extraction and presentation

  • Prepare SAP data entry for SBS and check prices into catalog (E-catalog, SAP, Ezbuy..)

  • Check and update prices compliance between catalog/SAP contracts and signed contracts

RFP?s and contracts management support

  • Upload contract into Convergence, assure last version available

  • Support buyers for qualification of suppliers incl. CSR

  • Document savings/initiatives into convergence for complex/multi entity contracts

  • Prepare RFP documentation for Buyers

Specific support for Capex

  • Expedite data entry for Capex (project pipeline) and filing (Bricsys)

  • Monitor and improve compliance (Capex01 & other) through expediting and transparent reporting

  • Develop and maintain management reporting + Capex

  • For Capex, upload into Bricsys

  • Manage costs tracking of external resources

Others general Admin

  • Setup and organize arrival of new hired persons (temporary and permanent staff), ensure access to all required systems & tools, improve onboarding process

  • Develop and maintain management reporting (all Sustainability, Costs/Cash objectives)


Education and Experience


  • Experience in procurement assistance (Min 5y)

  • Administrative assistance experience

  • Able to develop and implement own initiatives that increase transparency and drive continuous improvement

  • Fluent in English

  • Organisation, structured worker

  • Creative thinker

  • Google office environment (slides, sheets, documents)

  • SAP knowledge

  • Transparent reporting and to the point communication

  • Used to work with, combine, and improve, databases (excel based)

  • Flexibility

Nice-to-have skills

  • Macros in excel, pivot tables

  • Executive assistant experience
