Learning Administrator

As a Learning Administrator, you?ll be responsible on a day-to day basis for the administration and co-ordination of scheduled Learning events remotely or on customer sites. Working across different contracts you?ll support different clients, as a GP Strategies shared service.

With responsibility for establishing and maintaining excellent customer and staff relationships, you?ll ensure total customer satisfaction.

About the role

We?re a busy, proactive yet supportive team. In these turbulent times we?re working from home but have modern offices in Krakow ? when things return to normal you?ll have the flexibility to work part of the week from home.


On a day to day basis you?ll:



  • Support the annual scheduling process on contracts, where applicable.

  • Schedule and administer enrolments including, monitoring participation numbers, to ensure minimum delegate numbers are achieved, and highlighting low enrolments to appropriate point of contact.

  • Set up courses using appropriate Learning Management System and database, in line with standard operating procedures.

  • Order class materials internally or via a nominated third party supplier and ensure all materials arrive at the venue in a timely manner and are stored securely.

  • Confirm registrations and monitor cancellations with venues and trainers and ensure that the Learning Management System Learning records accurately reflect course attendance.

  • Work with the customer to obtain commitment of internal trainers and any additional resources that may be supporting the course delivery e.g. IT/Technical set ups.

  • Liaise with internal and external vendors to arrange conference centres, hotels, trainers, print suppliers, catering and equipment.

  • Distribution and collation of learner course materials and issuing joining instructions to participants.

  • Book accommodation for facilitators and participants, if required.

  • Manage learner queries via phone or email, coordinate escalations in accordance with service Level Agreements and to make suggestions of improvements, where necessary.

  • In the event of written reported issues, ensure that resolution occurs quickly by escalating accordingly.

  • Provide consolidated summary data, in a graphical or system generated format, following the completion of each course.

  • Support the distribution, collection and reporting of Evaluation data, enabling monthly forecasting and invoicing.

  • Where possible provide value added services as appropriate for continuous improvement.

  • Ensure that the Equality and Diversity, Health and Safety and Quality Operating Policies and procedures are adhered to within your area of responsibility and that any non-compliance is reported to your Manager.

  • Support a culture that promotes teamwork and discourages divisiveness at all organisational levels.


What we need

You?ll be supporting our client in the EMEA region and therefore fluency (written and spoken) in both Portuguese and English is essential.

Additionally we?ll require:


  • Strong administration experience, ideally gained in a learning environment.

  • Basic knowledge of Microsoft Office
  • Proven effective communication skills, including verbal and written

  • Excellent organizational skills with a customer focused proactive approach

  • Teamwork experience, including virtual teams

  • Assertiveness and resilience
  • An optimistic outlook with the ambition / drive to learn and use your initiative to creatively problem solve.

  • Good standard of education with experience in the Learning sector

  • Use of Learning Management Systems from an Admin perspective such as SABA or Quick Base.

  • Advanced knowledge of Excel
