The PMO Analyst will be based in Lisbon, within the Portugal Territory Management Office, and will be working directly with the UK Country Project Office.


The Territory Management Office (TMO) acts as strategic partner to Portugal Territory Management, COO and Company Engagement and provides strategic analysis, reporting and management services to enable an informed and fast decision making process.


The UK Country Project Office (CPO) plans, executes and implements high profile, strategic programmes and projects throughout the UK coordinating efforts at Territory Level across all business areas and functions.


ROLE AND RESPONSIBILITIES


The PMO Analyst will support the UK CPO team to deliver and implement its projects and scope of activities.

The UK CPO reports directly to the UK Territory Management, with high level of exposure to top management and transversal visibility over the different business lines. The PMO Analyst will have exposure to different projects and to senior stakeholders in the organization.


The position is a PMO Analyst and the objective of the role is to perform PMO tasks supporting UK CPO activities.


Key to this role are the principles to improve, govern, control and assure across the following areas:


  • Transversal Activities ? Assist in the day to day collation of data and reporting for departmental and transversal activities such as capacity planning, resource management, forecasting, project planning, RAID (Risks, Assumptions, Issues and Dependencies) management

  • Budget ? Maintain and monitor the team?s budget

  • Communication and Reporting ? Deliver high quality reporting to stakeholders, including sponsors and senior management
  • Project Support ? Assure that project governance is in place, monitor adherence to the methodology, support Project Managers in all PMO aspects and ensure that the delivery lifecycle is adhered to. Provide PMO expertise to Project Managers and training when required.

  • Audit & Quality Assurance ? Measure and report on quality, undertaking or overseeing Quality Assurance reviews, ensuring continuous improvement. Participate in evidence gathering and tracking for internal audits

  • Continuous Improvement ? Participate in the transformation of the UK CPO activities, suggesting improvements and changes to processes that generate efficiency gains and enhance the service. Keep up-to-date Team procedures and on-boarding packs

  • Assistance on projects ? Participate to internal projects to support the head of the team or project leads on deliverables, or potentially assist in the PMO of projects

  • BCP ? Business Continuity Plan Coordination, and single point of contact for Business Continuity Management teams

  • Assistance on recruitment ? Coordinate the recruitment process between the team, AMS, Human Resources and the candidates

  • Ad-hoc request from UK Territory management ? Work on request of coordination from UK Territory management when needed ? Creation of dashboard, ad-hoc coordination tasks
  • Assist the head of the department ? on different tasks, analysis, Inspection General (internal audit) or Operational Permanent Control reviews


Key responsibilities:


  • Maintain the projects roadmap, pipeline and provide visibility to relevant stakeholders

  • Contribute to the management of standard document repository(ies) and collaborative tools enabling the sharing of key information

  • Verify project tracking, control and reporting; monitor the management of risks, issues, dependencies, actions, tracking to budget, change control and regular reporting

  • Monitor budget and spend for projects

  • Manage the production of consolidated reporting and the production of slides for reporting at management committees

  • Provide materials, input and facilitate governance at all levels internally
  • Provide project support to selected projects, including aspects such as set up of the project governance, project launch, RAID management, ensuring that the methodology is followed appropriately for the project, preparation of SteerCo materials and minutes, management of project gate approvals and closure

  • Ensure that procedures are kept up to date for owned activities, and track maintenance of procedures across the UK CPO team

  • Facilitate capacity planning across a complex portfolio of projects; provide support where needed and communicate resource allocation challenges

  • Produce budget, actuals and forecast information for individual projects through to departmental view

  • Identify and implement opportunities to improve project delivery
  • Deal with all levels of the organisation from project team members to senior sponsors

  • Help on deliverables on projects


PROFILE



Experience in PMO role


  • 4 to 7 years of PMO experience in a similar organisation including:
    • Capacity planning
    • Governance support, including operation of governance processes and preparation of materials

    • Financial tracking at project and portfolio levels

    • Project planning

    • Status reporting
  • Strong understanding of the project lifecycle

  • Detailed knowledge of project, programme and portfolio management tasks

  • Exceptional people skills and the ability to coach and challenge others

  • Ability to deal with all levels of the organisation from operational, team leaders to senior sponsors

  • Advanced communication skills (verbal, written, listening) and highly developed attention to detail

  • Strong numeracy skills, able to analyse track and report complex budget information in a clear and consistent manner

  • Ability to use Microsoft Office products to a high standard, including MS Word, MS Visio, MS Excel, MS PowerPoint and SharePoint

  • Ability to adapt and respond in a rapidly changing environment

  • Capability to be flexible and step beyond this role as and when required

  • Ability to collaborate / Teamwork

  • Supportive and coaching mindset
  • Able to work to tight deadlines

  • Be a role model, supporting and fostering a culture of good conduct
