Technical Assistant to the CEO Full-time

About the team and role
You will be working at our headquarters in Carnaxide, Portugal, where we have a team of approximately 30 people in areas such as Software Development, Account Management, Logistics, Marketing and Administration, among others.

You will be working directly with the CEO, supporting him by preparing reports, performing studies, analyzing possible alternative solutions for existing problems, or even anticipating new potential issues before they become real problems. On top of that, you will be the liaison to several stakeholders, in order to facilitate and coordinate the work of the CEO.
The Technical Assistant will work directly with the CEO, performing the following tasks:

  • Prepare comprehensive reports and presentations with statistical data, based on the company?s performance, market reports and others.

  • Compile data for multiple companies within the group ensuring follow-up actions.

  • Act as a liaison with other departments as well as external stakeholders (distributors, service providers and manufacturers, among others).

  • Proactively anticipate potential service issues and bring them to the attention of the CEO.

  • Proactively propose new ideas to solve existing or emerging issues.

  • Participate in the development of the company's strategy and annual plans.

  • Maintain a filing system for important and confidential company documents.

  • Maintain quality standards, complying with QMS and GDPR.

  • Maintain the CEO?s diary, arrange meetings and appointments and provide reminders.

  • Take care of ad-hoc assignments, as required by the CEO.

Requirements


Training and Skills
The Technical Assistant to the CEO must have a degree in Business Administration, Management or related.
  • Strong aptitude for multitasking, excellent analytical organization skills under high resilient mentality, highly reliable and uncompromising tenacity to get things done.

  • Positive, proactive and problem-solving attitude for new assignments.

  • Resolve issues independently/autonomously.

  • Attention to detail and a high level of discretion.

  • A strong customer-oriented mindset

  • Comfortable in a fast-paced, dynamic environment, with great variety of assignments.

  • Excellent verbal and written skills in English and Portuguese are essential.

  • Demonstrate exceptional communication across all contact channels, including email and phone.

  • Strong aptitude and excellent skills navigating across multiple systems and applications, including desktop and web-based applications such as Google Docs, Microsoft Word, Excel and PowerPoint.
